JOB TITLE: Children & Young People’s Administrator

EMPLOYMENT STATUS: Part-time – permanent

RESPONSIBLE TO: Children and Young People’s Operations Manager

SALARY: £12.60 per hour

HOURS: 15 hours weekly, Thursdays and Fridays

The CYP Administrator will work alongside an experienced and established team consisting of an Operations Manager, Service Manager and Coordinators as well as job sharing with our current CYP Administrator, supporting our services across the West Midlands region.

What does a CYP Administrator do?

Midland Mencap is looking to appoint an administrator who has a passion and dedication to providing high quality services to the team as well as internal and external stakeholders.

They will be able to work within a fast-paced working environment due to the nature of the role and supporting remotely across the West Midlands region.

They will be able to take the lead for specific tasks as designated by the CYP Operations Manager, Service Manager and tasks from Senior Management as required.

To undertake required training for the role as well as organising all aspects of training and monitoring training matrixes for the entire CYP service, in compliance with Ofsted regulations.

Our CYP Administrator will also play a key part in signposting families and professionals within the CYP service as well as to internal services offered within Midland Mencap. They will also be able to manage all queries and referrals for the CYP service.

They must be enthusiastic, have motivation and the ability to work alone, both within the CYP team as well as the wider team within the organisation. They have a willingness to try new things alongside being able to adapt to the needs of Midland Mencap and the children’s services.

Key Tasks:

A willingness to attend training e.g. office programs UIQ and Care Tutor system.

Woking through the Safer Recruitment Processes for all new employees, from initial interview to completion of onboarding.

Training: planning and organisation of all required training from external providers. Monitoring dates of expiry and rescheduling refresher courses.

Managing all general queries day to day for all services (Birmingham, Worcester and Coventry), as well as dealing with professionals linked to these areas.

Processing DBS applications and monitoring the DBS update service.

Data collection for monitoring reports.

Assisting with monthly payroll/ invoicing processes.

General Ofsted support for example, ensuring all files are up to date to date as needed and policies and procedures are correct

Ensure that responsibilities are carried out in accordance with Health and Safety legislation, and Midland Mencap’s Equal Opportunities and Child Protection Policies.

Ensure appropriate professional boundaries with children, young people, parents and carers, staff and volunteers are maintained across the service.

Participate in planned regular meetings with the Children and Young Person’s Operations Manager and team.

Supporting Front of House as needed.

Adhere to and implement organisational policies and procedures.

Attend training courses as required to develop knowledge and skills to improve the quality of service.

Carry out any other tasks that are deemed appropriate within your job role and the aims of the organisation.
